Workflow
From onboarding to the permit
Readiness is built up in steps and checked again at the moment work is approved. Each step has an owner and leaves a record.
Step 1 of 5
Contractor onboarding
Contractor coordinator
The contractor company and its workers are registered on site, with the trades and tasks each person is expected to perform.
Before approval
What a supervisor sees before approving work
When a crew is attached to a permit, the approver sees each person's readiness for that work type. Fitness is shown only as an outcome, with no health details.
- Three workers ready for hot work.
- One competency expires soon; renewal reminder sent to the coordinator.
- One worker cannot join until the supervisor reviews an expired record.
Privacy
Readiness without oversharing
Contractor records can include personal and health-related information. These principles guide how readiness should be shown.
Role based access
Only people with a defined role should see readiness records, and only for the sites and contractors they manage.
Minimum necessary visibility
Supervisors should see a fitness outcome such as confirmed or not recorded, never the underlying health details or medical notes.
Human review
Documents are reviewed and workers are authorised by named people. The system shows status; people make the decision.
